We understand the importance of protecting the right to privacy. Protecting your rights is fundamental to the way that we do business. Policies and procedures have been built and applied to ensure that your privacy is protected. We have prepared this statement to explain how Tranzform Group aims to protect the privacy of personal information.
The Privacy Amendment (Private Sector) Act 2000 amended the Privacy Act, from 21 December 2001, to include laws that regulate the way private organisations, like Tranzform Group, handle personal information, including sensitive information.
The Act contains 10 National Privacy Principles that regulate, among other things, how organisations collect, store, protect the quality of personal information, use and share personal information with other organisations. The National Privacy Principles have been used to formulate all of our privacy procedures and policies and the way we operate and administer our business.
As a leading business processing and outsourcing enterprise we provide services for clients that involve the handling of personal information owned by them. Notwithstanding that we do not own the information we work closely with them to ensure that the privacy requirements of the legislation are addressed where the information is under our management. Each of these clients has their own responsibilities for privacy compliance and we will happily provide contact details. We have robust systems and procedures in place to protect your privacy whenever we collect, store, and use or disclose your personal information. We are continually upgrading these systems and reviewing our procedures to ensure the highest standards of compliance.
Tranzform Group Privacy Policy protects your privacy, including; The importance of your consent before we disclose your personal information to third parties; how we respect your privacy in the course of using your personal information; and how your privacy is protected when you access our web sites via the Internet. More information on the National Privacy Principles can be found on the Federal Privacy Commissioner’s web site at www.privacy.gov.au How we collect your personal information and why we need it: We collect most personal information directly from you or through clients who supply it to us as an external contractor or agent to perform services on their behalf. For example, you may supply us with details over the telephone, attend a seminar, send us a letter, visit our web sites, or when you contact us in person.
If we do not collect this information we will not be able to provide the level of service you expect from the Tranzform Group or you may lose benefits or options that may be of interest to you. We will explain at the time of the collection the purpose for which the information is required. This may be implicit in the nature of the collection, for example, a response to attend a seminar on our services will necessitate holding your response details on file to confirm attendance.
The type of personal information we collect always includes your name and may include your mailing address, telephone number, email address, date of birth, place of work, position within an organisation, previous. In certain circumstances, we may also collect sensitive information.
There may be occasions when we need to source personal information about you from a third party on behalf of a client. For example, we may collect personal information from your employer that confirms your employment status. How we use your personal information: We collect your personal information to provide you with a particular service or at the request of a client to perform a task at their direction. We may also use or disclose your personal information for purposes related or ancillary to the main reason we collect it, such as: internal accounting and administration;
regulatory reporting and compliance including disclosure to auditors and regulators;
protecting you, our clients and Tranzform Group from error and fraud; and helping us to identify and inform you about other products or services that may be of benefit to you.
Confidentiality: We have a duty to keep confidential all personal information we hold about you on behalf of our clients. Our duty of confidentiality applies except where disclosure of your personal information is compelled by law, for example, disclosure to various Government departments and agencies such as the Australian Taxation Office, and disclosure to courts under subpoena. Your consent is important: Your consent can be express or implied. Your consent can be implied when we can reasonably conclude that you have given consent by some action you take, or when you decide not to take action. We rely on your implied consent to use and disclose identifying information about you to Tranzform Group’s service providers. Naturally, the confidentiality of your personal information is still maintained. If you do not consent to certain uses of personal information, we may not be able to provide you with a particular product or service. Disclosing to third parties: Except where it is required by law, we only disclose personal information to third parties with your consent. We may contract out some of our functions and activities. For example, we may provide names and addresses to a mailing house to mail account statements to you. In these situations, we prohibit the third parties from using personal information about you except for the specific purpose for which we supply it. Additionally we expect these third parties to comply with the National Privacy Principles in acknowledging the confidentiality of the information and your right to privacy. Tranzform Group does not disclose names and addresses to third parties for the purposes of allowing them to direct market their products and services. We will not distribute your information to third parties overseas without your consent. Sensitive information: Where we collect sensitive information, we will only use and disclose it in the context to which it applies. We won’t use it for any other purpose or share it with anyone else without your permission. Direct marketing: From time to time we may use the personal information we have collected from you to identify products and services, which may be of interest to you. We may then contact you to let you know about these products or services. We will endeavour to ask permission before this information is sent. If you do not wish to receive direct marketing information, you can tell us at any time. Use of e-mail addresses: Your e-mail address will only be used for the purpose for which you have provided it and it will not be added to a mailing list or used for any other purpose without your consent. However, if you inquire about our services, unless you expressly state otherwise, we may put you onto an appropriate mailing list to receive updates on our services. You can tell us to remove your name at any time. We keep your personal information up-to-date: If we have accurate personal information about you, it enables us to provide you with the best possible service. We take reasonable steps to ensure that your personal information is accurate, complete and up-to-date whenever we collect or use it. We will correct personal information. If you find that current personal information we hold about you is inaccurate, incomplete or out-of-date, please contact us immediately and we will correct it. We store your personal information securely. We protect any personal information that we hold from misuse and loss. We also protect it from unauthorised access, modification and disclosure. Only authorised users can access your personal information, and access is only for approved purposes. Your personal information may be stored in hardcopy documents, as electronic data, or in Tranzform Group’s software or systems. We maintain physical security over our paper and electronic data stores and premises, such as locks and security systems. We also maintain computer and network security; for example, we use firewalls (security measures for the Internet) and other security systems such as user identifiers and passwords to control access to computer systems. Tranzform Group Security Policy: Your personal information will be recorded, amended and deleted only by authorised means. In addition, all employees sign confidentiality agreements and agree to follow Group policies as a condition of working for the Tranzform Group. Information collected: When you look at a Tranzform Group web site, a record of your visit is made and we may log the following information for statistical purposes:
your server address;
your top level domain name (for example .com, .gov, .au, etc);
the date and time of your visit to the site;
the pages you accessed and documents downloaded;
the previous site you have visited; and
the type of browser you are using. Access to information collected: Tranzform Group will not make an attempt to identify users or their browsing activities other than the collection of the above information to improve our web sites. Security on the Web: Our web site does not provide facilities for the secure transmission of information across the Internet unless stated otherwise. Users should be aware that there are inherent risks transmitting information across the Internet. Cookies: Cookies are small computer programs that enable features on web sites to work more efficiently. Cookies can be either "persistent" or "session" based. Persistent cookies are stored on your computer, contain an expiration date, and may be used to track your browsing behaviour upon return to the issuing web site. Session cookies are short-lived, are used only during a browsing session, and expire when you quit your browser. Our web sites only use session cookies, unless stated otherwise, and only during a search query of the web site. Web site statistics are generated from the web logs as outlined above. Upon closing your browser the session cookie set by the web site is destroyed. We do not keep any personal information and we cannot identify you should you visit our web sites at a later date. How can you contact the Tranzform Group: We respond quickly to inquiries or complaints. We will respond to your inquiry as soon as possible to let you know who is responsible for managing your inquiry. We aim to reply to the inquiry within 10 working days. When this is not possible, we will contact you within that time to let you know how long we estimate it will take to resolve the inquiry.
